Overview
AccurateBids LLC ("AccurateBids", "we", "us", or "our") operates the AccurateBids platform accessible at accuratebids.com. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data. By using AccurateBids, you agree to the practices described in this policy.
Information We Collect
Account information
When you create an account, we collect your name, email address, business name, and any other information you provide during signup or in your account settings.
Business data
To provide the service, we store the business data you enter: customers, quotes, jobs, invoices, expenses, equipment records, and team member information. This data belongs to you and is only used to operate your account.
Payment information
Subscription billing is processed through Stripe. We do not store your credit card number, CVV, or full card details on our servers. Stripe collects and processes payment information under their own privacy policy. When your customers pay a deposit or invoice through AccurateBids links, their payment data is also handled by Stripe, and the funds settle directly to your own connected Stripe account — your business is the merchant of record. AccurateBids does not charge a fee on, or take a share of, these payments.
Usage data
We may collect basic usage data such as pages visited, features used, and session duration to improve the platform. This data is aggregated and not linked to individual customer records.
How We Use Your Information
- To provide, maintain, and improve AccurateBids features
- To process your subscription and send billing receipts
- To send transactional emails (quote confirmations, payment receipts, follow-up reminders) on your behalf to your customers
- To send SMS notifications through Twilio when you enable that feature
- To send you product updates and account-related communications
- To respond to your support requests
- To comply with legal obligations
We do not sell, rent, or share your personal information or your customers' information with third parties for marketing purposes.
Customer Consent Is Your Responsibility
The customer information you enter into AccurateBids belongs to you, and you control it. As between you and AccurateBids, you are the controller of that data and AccurateBids processes it on your behalf to provide the Service. If you use AccurateBids to email or text your customers, you are responsible for obtaining any consent the law requires (including under the TCPA and CAN-SPAM) before those messages are sent, and for honoring opt-out requests. You are also responsible for providing your customers any privacy notices the law requires.
SMS & Mobile Messaging
If text messaging is enabled, AccurateBids sends SMS through Twilio about quotes, invoices, jobs, and account activity. Message frequency varies based on activity; message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. We do not share mobile phone numbers or SMS opt-in/consent information with third parties or affiliates for their own marketing purposes, and we do not sell this information.
Third-Party Services
AccurateBids uses the following third-party services to operate:
- Supabase — database and authentication. Your data is stored in encrypted, access-controlled databases. (supabase.com/privacy)
- Stripe — payment processing for subscriptions and customer payments. (stripe.com/privacy)
- Resend — transactional email delivery for quote notifications and follow-ups.
- Twilio — SMS notifications when enabled in your settings.
- Anthropic (Claude) — AI processing for the optional AI features described below.
- Vercel — hosting and content delivery. (vercel.com/legal/privacy-policy)
AI Features
AccurateBids offers optional AI tools — including the AI Scope Assistant, AI Photo-to-Quote, supplier-quote / price-list scanning, and the Quick Estimate command bar (where you type a short instruction such as "estimate for John Doe $3000 changing tire") — that help you draft quotes and build your catalog faster. When you use these features, the content you submit (for example a command or job description you type, a blueprint you upload, a photo of equipment, or a supplier price quote you scan) is sent to our AI provider, Anthropic, to generate a suggested draft. That content may include information about you, your suppliers, or your customers and their property.
This information is processed only to produce the requested draft and return it to you. Our AI provider does not use data submitted through its API to train its models. AI features are entirely optional — if you do not use them, no data is sent to the AI provider.
AI-generated materials, line items, and estimates are drafts only. You are responsible for reviewing and verifying them before relying on them or sending them to a customer.
Data Security
Your data is stored in Supabase-managed PostgreSQL databases with row-level security (RLS) enforced — each contractor account can only access its own data. Data in transit is encrypted via HTTPS/TLS. We implement industry-standard security practices and review them regularly.
Data Retention
We retain your account data for as long as your account is active. If you cancel your subscription, your data is retained for 30 days before deletion, giving you time to export anything you need. You may request immediate deletion at any time (see below).
Your Rights
You have the right to:
- Access — request a copy of all data we hold about you and your account
- Correction — update or correct any inaccurate information
- Deletion — request deletion of your account and all associated data
- Portability — export your customers, quotes, and jobs as CSV from within the app
- Opt-out — unsubscribe from marketing emails at any time via the unsubscribe link in any email

Cookies & Analytics
AccurateBids uses essential cookies required for authentication and session management. We also use third-party analytics and advertising tools — such as Google Analytics, Google Ads, and the Meta (Facebook) Pixel — to understand how visitors find and use our marketing site and to measure the effectiveness of our advertising. These tools may set cookies and collect usage data (such as pages visited and whether you started a free trial). They do not receive the contents of your quotes, invoices, or customer data. You can opt out via your browser settings or industry opt-out tools such as the Google Ads Settings and the Digital Advertising Alliance (optout.aboutads.info).
Children's Privacy
AccurateBids is a business tool intended for adults. We do not knowingly collect information from anyone under 18 years of age.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page and notify active subscribers by email for any material changes.
